Intellectual Property
The intellectual property rights over the content (including logos, graphics, trademarks, images, videos, text, as well as the overall appearance of the website) and the materials related to the Event belong to Eventrium SRL.
Event participants and website visitors are prohibited from copying, altering, modifying, storing, publishing, transferring, selling, or distributing the content displayed on the website for commercial purposes. Any reproduction, use, or exploitation of the content available on the website or of materials related to the Event without the prior written consent of Eventrium SRL constitutes an infringement of intellectual property rights and falls under the provisions of Romanian Law no. 8/1996 regarding copyright and related rights.
Use of Image / Assignment of Rights
For the purpose of promotional campaigns and medical education activities, the Organizers require participants to assign their patrimonial rights and related image rights and agree that any intellectual property rights and ownership rights over materials and data resulting from video recordings, photographs, or online transmissions shall remain the property of the Organizers.
By registering for the Event and accepting the policies of Eventrium SRL, the participant expressly and unequivocally consents to the assignment of their patrimonial rights and related image rights. Furthermore, the participant expressly agrees that the Organizers may use their image for Event promotion through any communication channels selected by the Organizers (publications, brochures, media, social media, Organizer’s website, scientific society website, Event website, internet, etc.), without requiring any further authorization.
The assignment of rights related to the participant’s image is made free of charge and for an unlimited period of time. By registering and participating in the Event, whether physical or online, the participant acknowledges and agrees that photographs, videos, recordings, livestreams, or any other materials containing their image may be broadcast during the Event and subsequently used for promotional purposes.
All video recordings, livestreams, photographs, and other materials related to the participant’s image produced within the Event shall remain the property of the Organizers and may be used in accordance with the purpose stated herein. Any intellectual property rights and ownership rights over the materials and data resulting from video recordings, photographs, or online transmissions shall remain the property of the rightful owner, namely the Organizers.
Should the participant refuse the processing of the above-mentioned personal data, considering the mandatory nature of such processing for the organization of the Event, the Organizers reserve the right to restrict access to the Event.
Limitation of Liability
The Organizers and Eventrium SRL shall not be held liable for any losses, injuries, or material damages occurring during the Event, regardless of their cause, provided that they are not the result of negligence on the part of the Organizers or Eventrium SRL.
If, due to circumstances beyond the control of the Organizers (including pandemics, terrorism, natural disasters, wars, strikes, legal restrictions, power outages, or internet disruptions), the Event date, venue, scientific program, or the Event itself must be changed or cancelled, the Organizers undertake, where possible, to reschedule the announced activities or identify an alternative venue. However, the Organizers shall not be held responsible for any additional costs, damages, or expenses incurred by registered participants.
If, for justified objective reasons and with prior written notice to participants, the Organizers decide to modify the announced structure of the Event (including organizational details), they shall not be responsible for transportation, accommodation, or any other expenses already incurred by participants.
The Organizers may establish additional rules and regulations at any time regarding the Event, with immediate effect, in order to ensure the best possible organization of the Event. Registered participants are required to comply with such rules. Any additions or modifications concerning the organization of the Event will be communicated to participants in due time.
Fees and Payments
Payment of the applicable Event fee is due upon registration. If such payment is insufficient or refused for any reason, Eventrium may refuse access to the Event.
Fees may be subject to value-added tax (VAT), which, where applicable, shall be charged in addition to the fees. Eventrium SRL collects payments through a third-party online payment processor and does not store card details, but retains anonymized and unique payment identifiers.
Governing Law
These Terms and Conditions constitute the agreement between website users / participants and Eventrium SRL. Romanian law shall govern this agreement.
Any disputes arising from the breach of these Terms and Conditions shall be settled in accordance with Romanian law, either amicably, through mediation, or before the competent courts of Cluj-Napoca, Romania.
EVENTRIUM SRL REGULATION ON THE PROCESSING OF PERSONAL DATA
This document presents the company’s policy regarding the collection and management of personal data, as regulated by Regulation (EU) 2016/679, applicable starting from May 25, 2018, regarding the protection of natural persons with regard to the processing of personal data and the free movement of such data.

Through the services provided, Eventrium SRL processes personal data exclusively for the purpose of delivering the contracted services in accordance with its scope of activity and contractual relationships. Pursuant to Regulation (EU) 2016/679, Eventrium SRL is committed to complying with all obligations regarding the protection of personal data and the free movement of such data, as well as with all applicable Romanian and European legislation concerning personal data protection.
To this end, Eventrium SRL adopts this Regulation on the Processing of Personal Data, informing its partners, beneficiaries, and employees that it is committed to maintaining the strict confidentiality of all collected personal information and shall not disclose personal data except to its employees and contractors who require access to such data in order to provide contracted services.
Eventrium SRL employees and contractors are instructed and obligated to maintain the confidentiality of such data.
Furthermore, Eventrium SRL shall not disclose, transmit, or make personal information available to third parties unless such disclosure has been expressly authorized by the data subjects.
By implementing operational, technical, and organizational measures necessary to protect personal data against accidental or unlawful destruction, modification, disclosure, or unauthorized access, Eventrium SRL guarantees the security of such data and eliminates risks arising from disclosure of personal information.
Eventrium SRL regularly monitors the effectiveness of personal data protection and security standards, continuously assessing and adapting to potential risks that could affect the integrity, security, or confidentiality of personal information.
Collection of Data
For the purpose of collecting personal data, Eventrium SRL designates authorized users responsible for collecting, entering, and storing personal data within an information system.
Any modification of personal data may only be carried out by authorized users designated by Eventrium SRL.
Storage of Data
Eventrium SRL shall retain personal data only for the duration necessary to fulfill the purposes for which the data was collected and processed.
Upon expiry of the storage period, personal data shall be deleted, destroyed, or anonymized if retained for statistical or scientific purposes.
Access to Personal Data
Access to personal data stored in the information system shall be restricted and permitted only to persons holding access credentials.
Eventrium SRL secures access to operating systems and prohibits unauthorized remote access by disabling remote communications unless required and strictly controlled through approvals, access monitoring, and activity logs.
Staff Training
During user training sessions, Eventrium SRL informs users about the provisions of Regulation (EU) 2016/679, the minimum security requirements for personal data processing, and the risks associated with such processing, depending on the user’s specific activities.
Users within Eventrium SRL who have access to personal data are instructed regarding confidentiality obligations and are required to maintain secrecy regarding such data.
Under Regulation (EU) 2016/679, data subjects benefit from:
- the right of access and rectification,
- the right to object to processing,
- the right to data portability,
- the right to request deletion of collected data.
Eventrium SRL remains permanently informed about legal requirements concerning personal data processing, and its processing activities comply with all applicable laws and regulations regarding confidentiality and security.

When applicants use a service provided by Eventrium SRL, they may be asked to provide their name, email address, and other personal information.

When applicants visit a website, certain information is disclosed automatically, such as IP address, access time, and referral source. Like other operators, Eventrium records this information.
